Club management, from the class floor out

The club system built around what happens in class.

Registers, progression, safeguarding and parent updates for gymnastics, martial arts, dance, swimming and cheer—from first trial to certificate.

Register changes stay on the tablet and sync when the signal returns.

  • Different view for every role

Staff, shared tablets and parents see carefully bounded records.

One record, from first trial to certificate

The register, the coach's notes and the family update should not tell three different stories. My Active Club connects the work done in a session to everything that follows it.

  • A paper register on a clipboard

becomes One live register on the club tablet, even when the Wi-Fi drops

  • Progress records in a coach's notebook

becomes A dated progression history built during class

  • Medical notes filed in the office

becomes The right alert beside the child, for authorised staff

  • Parent updates by group chat

becomes A private family view of progress, awards and care details

  • Separate lists for trials, progression and awards

becomes One record from first enquiry to certificate

One platform, from warm-up to award

Not an admin system with a register bolted on — the work coaches do during a session is the heart of it.

  1. During class

    Run today's sessions

Open the register, sign participants in and out, and record the marks your reports rely on. The on-premises view doubles as the fire register, while offline changes wait safely on the shared tablet until the connection returns.

    Example, using fictional sample data:
    Saturday 9:00am · Beginners14 signed in · 2 expectedLive
Elsie Nakamura — marked LateSigned in 9:12am by Coach Idowu
On premises right nowOne list across every session — your fire register
  2. After class

    Track each participant's progression

Assess a single participant or a whole group as skills are demonstrated. Every achievement keeps its date and assessor, building a clear history through to promotion day.

    Example, using fictional sample data:
Backward roll — achievedTheo Almeida · assessed by Coach Daniels3 of 3 reps
Bridge — working towardsSecond attempt recorded this week
Ready for Level 3Completion rule met — promotion needs a named decision
  3. Always in reach

    Keep essential safeguarding information close

Medical alerts sit beside the child on the register. Full notes, emergency contacts and consent status are one tap away for authorised staff, with a history behind every change.

    Example, using fictional sample data:
Medical note — Priya SharmaVisible to authorised staff only
    Emergency contactsTap-to-call, in priority order
Photography consent — not yet answeredFlagged on the register until it's resolved
  4. At home

    Give parents a curated view

Families see their own children and nothing else: current level, achieved skills, awards, notices and care details, with a request-and-review path for changes.

    Example, using fictional sample data:
    Sofia's progressLevel 2 · 5 skills achieved this term
Club notice — Show week scheduleAcknowledged by 3 of 4 families in the group
ConsentsAnswer photography and social-media permissions directly
  5. In the office

Manage trials, notices, awards and club history

Move enquiries through waiting list, trial and joining without retyping. Issue certificates from the same progression record, reach the right families and keep an auditable club history.

    Example, using fictional sample data:
Trial booked — Rosa LindgrenEnquiry → waiting list → Tuesday's class
Level 1 certificate — ready to printIssued from the same progression record

The right view for every pair of hands

Administrators, coaches, parents and shared club tablets each get their own carefully-bounded slice of the same records.

For administrators

Calm control of the whole club, with an audit trail behind it.

What they see

Every participant, session, record and change across the club — and nothing from any other club on the platform.

What they do

  • Set up sessions, groups, staff and shared club tablets
  • Manage trials, waiting lists, notices, awards and billing foundations
  • Define levels, belts or grades and the rules for moving up
  • Import existing records, export, back up and review the audit history

For coaches

Speed and clarity in the middle of a live class.

What they see

Today's registers, their participants' progression, and the medical alerts and emergency contacts they're authorised to view.

What they do

  • Sign participants in and out and set register marks in seconds
  • Assess skills one-by-one or across a whole group
  • Open a child's emergency details in one tap when it matters
  • Log incidents and handover notes without leaving the register

For parents

A clear window on their own child's journey — no more, no less.

What they see

Their linked children only: progress, awards, notices, and the care details the club holds for their family.

What they do

  • Follow skills, levels and certificates as they're earned
  • Answer consent questions directly, with a record kept
  • Request changes to medical and contact details for staff review
  • Read and acknowledge club notices

Your programme, in your words

Skills, levels, belts, grades, stages, awards — one progression engine wearing your programme's names. Stage and skill names, colours and completion rules are yours to edit; we set up a new club's structure together when you join.

Safeguarding & trust

Built to be careful with children's information

Clubs hold some of the most sensitive information there is. My Active Club is designed with UK safeguarding practice and data protection in mind, and every feature starts from the question of who should be able to see it.

Role-based access
Administrators, coaches, viewers, shared club tablets and parents each have distinct, limited permissions — enforced by the platform, not by hiding buttons.
Curated parent views
Parents see their own children through a purpose-built portal. Coaching notes, other families and staff-only records are never part of it.
Emergency information where it's needed
Medical alerts and emergency contacts are beside the register for authorised staff — visible in one tap during a session, and only to those with the right role.
An audit history behind changes
Records of who changed what, and when — so a question asked months later has an answer.
Each club's data stays its own
Clubs on the platform are isolated from one another at the data layer. Your records are yours.

Early access

A careful start, not a blind software switch

My Active Club is onboarding clubs directly while the platform grows. That means no mystery setup and no pretending one template fits every programme.

  1. 01

Show us how your club works

Tell us your activities, participant count, locations and the programme your teachers or coaches assess.

  2. 02

    See it in your language

We map your levels, belts, grades or stages and agree a written rollout and price before setup begins.

  3. 03

    Start with support beside you

Programme setup and existing-record imports are handled with you, so the first live register is not a leap in the dark.

Common questions

Can I explore it before speaking to anyone?

Yes. The live demo contains seven entirely fictional clubs covering gymnastics, dance, karate, kickboxing, swimming, junior football and cheer. You can enter as an administrator, lead member of staff, assistant, parent or shared club tablet without creating an account or entering personal details.

Is it only for gymnastics?

No. The platform grew up on a real gymnastics club floor, which is why the register and progression tools feel the way they do — and it is designed for any club that teaches in groups: martial arts, dance, cheer, swimming, performing arts and beyond. Sessions, groups, and the names of your stages and skills are all yours to set.

Can we use our own levels, belts or grading system?

Yes — your programme's stage names, colours, the skills or techniques inside each stage, and the completion rules for moving up are all editable in the admin area. Setting up a brand-new stage structure (a belt ladder, exam grades, swim stages) is something we do with you when your club comes on board, so coaches assess against your programme from day one.

Does it work on tablets during a class?

Yes — that is the main way coaches use it. A shared club tablet signs in once; each coach unlocks it with their own PIN, so every register mark and assessment is attributed to the right person. If the hall Wi-Fi drops, changes are kept safely on the tablet and saved automatically when the connection returns.

What can parents see?

Parents sign in to a portal showing only their own linked children: current level and progress, awards and certificates, club notices, and the medical, contact and consent details the club holds for their family. They can answer consent questions directly and request changes to care details, which staff review before anything is updated. Coaching notes and other families' information are never visible.

Can we import existing club records?

Yes. There is a guided CSV import with field mapping, validation, duplicate detection, a preview before anything is written, and a rollback if you change your mind. Per-table exports and a full club backup are built in too.

How much does it cost?

My Active Club is in early access, so pricing is confirmed in writing before onboarding based on the size of the club and the agreed rollout. The live demo is free to explore and needs no account. Tell us the number of participants and locations and we will give you a clear scope and price before any setup begins.

Is payment collection included?

Not yet. My Active Club currently focuses on what happens around the class: registers, progression, safeguarding, awards and parent updates. Membership and billing foundations exist, but live recurring payment collection is still in development, so early-access clubs keep their current payment process alongside the platform for now.
